Microsoft 365 Copilot Wave 3: What Businesses Need to Know


If you use Microsoft 365 every day, you’ve probably noticed that Copilot has not exactly been sitting around with its feet up.


Microsoft has continued adding Copilot features to Word, Excel, Outlook, PowerPoint, and the rest of Microsoft 365. These updates are often released in “waves,” which is Microsoft’s way of grouping several major changes together.


Microsoft 365 Copilot Wave 3 is the latest phase, and it represents a much bigger change than a few new buttons.


Earlier versions of Copilot were mostly designed to help you complete individual tasks. It could draft an email, summarize a meeting, create a presentation, or help analyze a spreadsheet.


That was useful, but you still had to direct nearly every step.


Now, Copilot is beginning to take on more responsibility. It is moving from answering questions to completing parts of a workflow.


In other words, Copilot is starting to act less like a clever chatbot and more like the new employee who never takes a lunch break. The difference is that this employee also needs permissions, rules, supervision, and the occasional reminder not to reorganize the entire filing cabinet.


Copilot can work inside Microsoft 365 apps


One of the biggest improvements is how Copilot works inside Word, Excel, PowerPoint, and Outlook.


Instead of creating one quick draft and calling it a day, Copilot can help create, edit, and improve your work directly inside these programs.


It can help:

  • Rewrite and improve a Word document

  • Add formulas and analyze information in Excel

  • Build and revise PowerPoint slides

  • Draft and refine emails in Outlook

  • Create documents, spreadsheets, and presentations from Copilot Chat


The goal is to reduce the amount of copying, pasting, downloading, and jumping between different windows.


Changes are also designed to remain visible and reviewable. That matters because “the AI did it” is not a great explanation when the quarterly report suddenly shows that your company made $14 billion selling staplers.


You can build task-focused AI agents


Microsoft is also making it easier for businesses to create their own AI agents.


An agent is a small, task-focused assistant that follows a set of instructions. It can help with repeatable work without needing someone to type a new prompt every few minutes.


For example, a business might create an agent to:

  • Help answer common employee questions

  • Support the employee onboarding process

  • Find information in company documents

  • Prepare routine reports

  • Assist with purchasing requests

  • Organize information for customer meetings

  • Support an internal approval process


Employees can build simpler agents with Agent Builder. More advanced agents and business workflows can be created through Microsoft Copilot Studio.


The important part is choosing the right process. Automating a good process can save time. Automating a bad process just allows the confusion to travel faster.


How Microsoft 365 Copilot Wave 3 uses Work IQ


Work IQ is the layer that gives Copilot more context about your work.


It can use information from your Microsoft 365 environment, including files, emails, meetings, chats, and business relationships. This helps Copilot understand what you are working on and provide answers that are more useful to your organization.


Instead of producing a generic response, Copilot may be able to use the information you already have permission to access.


That could mean fewer vague answers and less time spent explaining the same background information in every prompt.


However, Work IQ also makes good information management more important.


If your SharePoint site looks like a digital junk drawer, your permissions have not been reviewed since 2018, and nobody knows which version of a document is current, Copilot will not magically fix all of it.


AI works better when your data is organized, your permissions are correct, and outdated information is removed.


Copilot Chat can take action


Copilot Chat is also becoming more useful.


You can ask it to create files or complete certain actions without constantly switching between applications. Depending on the feature and your organization’s setup, Copilot may help schedule a meeting, draft an email, or create a document directly from the conversation.


This could save employees a surprising amount of time. A few minutes saved on dozens of small tasks can add up quickly.


But it also means businesses need to think about what Copilot should be allowed to do.


There is a big difference between allowing AI to draft an email and allowing it to send that email. One saves time. The other could invite the entire company to a meeting called “Definitely Not Another Meeting.”


Copilot Cowork handles longer assignments


Microsoft has also introduced Copilot Cowork, which takes AI-assisted work a step further.


Copilot Cowork is designed for longer, multi-step assignments that may involve several files, applications, or business systems.


Instead of asking Copilot to complete one small task, you can describe the result you want. Cowork can then plan the steps, work through the assignment, and return the finished materials for review.


For example, it could help:

  • Prepare a customer meeting brief

  • Review and organize an inbox

  • Coordinate information for a product launch

  • Identify sales opportunities

  • Analyze budget data

  • Create a report for leadership


Copilot Cowork can pause for approval before taking sensitive actions, such as sending an email or making an important update. Its actions are also designed to be visible and auditable.


Microsoft initially introduced Cowork as a research preview. It became generally available in June 2026, although access, licensing, and usage charges may depend on your Microsoft 365 setup.


Copilot can use different AI models


Microsoft 365 Copilot is also becoming a multi-model platform.


That means it can use AI technology from more than one provider. Microsoft can select a model based on the type of work being completed, without requiring the average employee to become an expert in AI models.


That should give Copilot more flexibility as AI technology continues to improve.


For most employees, the name of the model is not the important part. They just want the spreadsheet analyzed correctly and would prefer not to spend Tuesday afternoon comparing artificial intelligence benchmarks.


Agent 365 gives IT more control


As businesses create more AI agents, somebody needs to keep track of them.


Microsoft Agent 365 is designed to give IT and security teams a central place to observe, manage, secure, and govern AI agents.


That includes understanding:

  • Which agents are being used

  • Who owns each agent

  • What information an agent can access

  • What actions an agent can take

  • Whether the agent is following company security policies

  • How the agent fits into the rest of the organization


This may not sound as exciting as asking AI to build a presentation, but it could be one of the most important parts of Wave 3.


An agent with no owner, too much access, and no monitoring is not a productivity tool. It is a future incident report warming up in the bullpen.


What should your business do now?


You do not need to activate every new feature on the day it appears.


Start by identifying a few repetitive tasks that consume a meaningful amount of employee time. Look for processes that already have clear steps, rules, and ownership.


Before introducing agents, review:

  • Microsoft 365 permissions

  • SharePoint and OneDrive organization

  • Data retention policies

  • Sensitive information controls

  • Employee AI training

  • Agent ownership and approval rules

  • Monitoring and audit requirements


The technology is moving quickly, but your security and planning still matter.


Microsoft 365 Copilot Wave 3 could help businesses save time and improve everyday workflows. It could also create new risks if agents are introduced without proper controls.
